What to Check Before Booking a Blood Donation Camp

What to Check Before Booking a Blood Donation Camp

Blood donation camps are one of the most impactful initiatives a society, company or institution can run — but they also involve more moving parts than people expect. Before you commit to a date, here's what's worth checking.

Is the Blood Bank Authorised and Licensed?

This is the single most important question. A blood donation camp should only ever be run in partnership with an authorised, licensed blood bank — this isn't optional, and it's worth confirming directly rather than assuming. A legitimate blood bank will have no issue sharing their licensing details.

What Does the Blood Bank Handle vs. What Do You Handle?

Typically, the blood bank brings the medical team, equipment and collection process. You (or your camp organiser) handle the venue, registration, mobilisation of donors, and general logistics. Get clear on this split early so nothing is assumed and left uncovered.

How Many Donors Are You Expecting?

A rough donor estimate affects almost everything — how long the camp needs to run, how many collection stations are needed, and how much space and seating to arrange. If you're a society or company running this for the first time, don't guess; put out a sign-up sheet or interest form beforehand.

Is There Enough Space for Pre- and Post-Donation Care?

Donors need a space to rest and be monitored briefly after donating, plus basic refreshments. This is often overlooked in venue planning and ends up being cramped on the day.

Who's Mobilising Donors?

Blood banks don't typically handle donor mobilisation — that's on the organiser. A camp with a licensed blood bank but no clear donor mobilisation plan will struggle for turnout. Posters, WhatsApp groups, and word of mouth through the society or company usually work best, started at least 2 weeks ahead.

Is There a Single Coordinator for the Day?

Between the blood bank's team, your venue arrangements, and donor flow, camps run much more smoothly with one person (or team) coordinating everything on the day rather than several people managing pieces independently.

If organising all of this feels like a lot to take on internally, this is exactly what we coordinate for societies, companies and institutions across Pune & PCMC — connecting with authorised blood banks and managing the on-ground logistics end to end.
