Housing societies across Pune & PCMC increasingly run health check-up camps for residents — but a camp that isn't planned properly can turn into a long queue and a frustrated crowd. Here's a practical checklist if your committee or RWA is planning one.
1. Decide the Scope First
Before anything else, decide what the camp will actually cover. A general health screening (blood pressure, sugar, BMI, basic consultation) is very different from a camp that includes lab tests — and the second needs a diagnostic partner involved from day one. Nail this down before you pick a date.
2. Pick a Date With Enough Lead Time
Good camps need at least 2–3 weeks of lead time. That's enough time to:
- Confirm doctors and staff for the day
- Coordinate diagnostic partners if lab tests are included
- Put up notices and collect resident interest/headcount
- Arrange the venue (society clubhouse, common ground, etc.)
3. Estimate Headcount Early
A rough headcount changes everything — the number of staff needed, how long the camp should run, and whether you need one screening station or three. Circulate a simple sign-up sheet a week or two before the camp so you're not guessing on the day.
4. Sort Out Logistics
- Venue: A space with seating, some privacy for consultations, and enough room for equipment.
- Registration desk: One clear entry point so residents aren't confused about where to start.
- Power & water: Easy to forget, needed for most equipment.
- Timing: Morning slots tend to get better turnout, especially for older residents.
5. Have One Point of Contact
The biggest reason camps run into last-minute chaos is too many people coordinating too many moving parts. Assign one person (or one team) as the single point of contact for doctors, equipment and the diagnostic partner — everyone else should route questions through them.
6. Plan for Follow-up
If the camp includes any tests, decide upfront how results will reach residents — printed on the day, sent digitally, or collected later. Residents remember whether follow-up was smooth just as much as they remember the camp itself.
If coordinating all of this sounds like more than your committee wants to take on, this is exactly what we handle for societies across Pune & PCMC — from planning through to running the camp on the day.
