Corporate Health Checkups — A Simple Planning Guide for HR Teams

Corporate Health Checkups — A Simple Planning Guide for HR Teams

Employee health checkups are one of those benefits that look simple on paper and get complicated fast once you start planning them. If you're an HR team putting one together, here's a straightforward way to think about it.

Start With the "Why"

Are you running this as an annual wellness benefit, a one-off initiative, or part of onboarding for new hires? The answer changes the scope — an annual benefit usually needs a repeatable package, while a one-off can be more flexible.

Decide: On-site or At a Centre?

Both work, but they trade off differently.

  • On-site camps minimise disruption — employees don't leave the office, and you can usually get higher participation. But you need space, and it takes coordination on the day.
  • Partner diagnostic centre visits need less on-site setup, but employees have to actually go, which usually means lower participation unless you build in dedicated time.

For larger teams, a hybrid works well: basic screening on-site, and lab tests scheduled separately at a centre.

Build the Package Around Headcount and Budget

A checkup package for 20 employees looks very different from one for 200. Get a rough headcount early, then work backward from your budget to decide what's included — basic vitals and BMI are usually table stakes, with blood tests, ECG, and specialist consultations added depending on what you can afford.

Get a Single Point of Contact From Your Vendor

This is the one thing that makes or breaks execution. If you're coordinating separately with a lab, a staffing agency, and an equipment vendor, something will fall through the cracks. Ask upfront: is there one person or team accountable for the whole package, from planning to reporting?

Communicate Early, and Keep It Simple

Employees are more likely to participate if:

  • They know well in advance (at least 1–2 weeks)
  • The process is clearly explained (where, when, what's involved, how long it takes)
  • Results and next steps are communicated clearly afterward

Plan for Reporting

Decide how employees will receive their results — most companies keep this direct between the employee and the diagnostic partner, for privacy. Make sure this is agreed with your vendor before the day of the checkup, not after.

If you're an HR team looking for a single vendor to handle planning, staffing and diagnostics for a corporate health checkup, that's exactly what we do for companies across Pune & PCMC.
